GENERAL DATA PROTECTION REGULATION (GDPR) PRIVACY NOTICE
Sylvan Studio
Sylvan Studio is a garden design practice. Christine Whatley MSGD MBALI acts as Sylvan Studio’s data
controller and data processor for the purposes of the GDPR.
Why we keep personal data and our legal basis for doing so
Sylvan Studio keeps and uses clients’ and suppliers’ personal data to enable it to operate efficiently and to
provide its clients with the services they have paid for. To do this Sylvan Studio needs to know who its
clients are and to be able to communicate with them, and to be able to arrange for others to supply goods
and services to them as individually agreed with each client. Sylvan Studio is therefore adopting the legal
basis of ‘Legitimate interest’ to justify holding and using clients’ and suppliers’ personal data. We are
satisfied that it is in the legitimate interests of Sylvan Studio to maintain this data, that it is necessary and
proportionate to do so and that the purposes for which the data is used cannot be achieved in any other,
less intrusive, way.
This notice applies only to data provided to and processed by Sylvan Studio. The protection and use of
personal information that you provide to any other individual or organisation referred to you by Sylvan
Studio is the responsibility of that individual or organisation and is governed by their privacy policy.
What we keep and what we do with it
Sylvan Studio stores and uses your contact details as provided by you directly. Those details are your
name, address, telephone number(s) and email address. Sylvan Studio also keeps a record of clients’
invoices paid to us or suppliers’ invoices paid by us, and method of payment. We do not keep any bank
details.
The information is held electronically, and is password protected and regularly backed up by external hard
drive. Paper files are also kept at Sylvan Studio’s address.
Who we share it with
Sylvan Studio will share necessary contact details of individual clients with suppliers of the goods and
services that the client has paid for Sylvan Studio to facilitate, for the purposes of fulfilling its duties to the
client.
Sylvan Studio will not share a client’s details with any other client or organisation without their express
permission.
How long we keep it
Sylvan Studio keeps it’s clients’ files indefinitely as an archive of its design work. Personal data may
therefore be stored for longer than is necessary for the purposes for which the data is processed, solely
for archiving purposes.
Your rights under the GDPR
You have the right to:
- Be informed about the collation and use of your personal data
- Access the data held (a copy of your data will be provided on request)
- Have any inaccuracies or omissions in your data corrected
- Request your details be deleted from our records where there is no compelling reason for it to continue
to be processed
- Request that the use of your personal data is restricted
- Object to the use of your personal data at any time for direct marketing / research
